Complete guide to track costs, manage your Agoralia subscription, configure billing settings, and understand plan limits and features.


Overview

The Billing & Usage section allows you to:

  • View your current plan and subscription status
  • Track usage and costs
  • Manage billing information and payment methods
  • Configure budget limits and alerts
  • Upgrade or downgrade your plan
  • View invoices and payment history

Prerequisites

  • Admin access to workspace billing settings
  • Active billing account or trial period

Accessing Billing

  1. Navigate to Settings

    • Click Settings in the sidebar
    • Go to Accounts & Billing section
  2. Billing Page

    • View your current plan
    • Check usage statistics
    • Manage billing settings

Understanding Plans

Agoralia offers four subscription plans:

Free Plan

Perfect for: Testing, small projects, personal use

Limits:

  • 1 Agent maximum
  • 1 User (seat)
  • 1 Concurrent Call maximum
  • 1 Language supported
  • 0 Workflows
  • CSV Import only

Features:

  • Basic AI calling
  • Lead management
  • Campaign creation
  • Call monitoring

Trial: 14-day free trial (credits required to make calls)

Core Plan

Price: €29/month

Perfect for: Small businesses, startups

Limits:

  • 5 Agents maximum
  • 3 Users (seats)
  • 3 Concurrent Calls maximum
  • 3 Languages supported
  • 3 Workflows maximum
  • 1,000 Minutes per month included
  • CRM Integrations: HubSpot, Zoho, Odoo, CSV

Features:

  • Everything in Free
  • Weekday scheduling (calendar_week_day)
  • Multiple agents

  • Team collaboration (3 users)

Pro Plan

Price: €79/month

Viewing Your Current Plan

Plan Overview

The billing page shows:

  • Current Plan: Your active subscription plan
  • Plan Status: Active, Trialing, Cancelled, etc.
  • Trial Days Left: If on free trial
  • Renewal Date: Next billing date
  • Plan Fee: Monthly subscription cost (if applicable)

Plan Details

Click on your plan to see:

  • Plan Limits: Current limits vs. plan limits
  • Usage: How much you've used
  • Features: Available features for your plan

Monitoring Usage

Usage Statistics

View detailed usage statistics:

Current Month:

  • Minutes Used: Total minutes called this month
  • Minutes Billed: Minutes synced to billing system
  • Total Cost: Total cost for current month
  • Breakdown: Cost breakdown by component

Usage History:

  • Daily Usage: Day-by-day breakdown
  • Monthly Usage: Month-by-month trends
  • Cost Trends: Spending over time

Usage Limits

Free Plan:

  • Pay-as-you-go (credits required)
  • After trial, upgrade required

Core Plan:

  • 1,000 minutes per month included
  • Overage charges apply after limit

Pro Plan:

  • Unlimited minutes
  • Pay-as-you-go pricing

Enterprise Plan:

  • Unlimited minutes
  • Custom pricing

Managing Budgets

Budget Limits

Set monthly spending limits:

  1. Go to Billing → Budget
  2. Set Monthly Budget:
    • Enter budget amount in euros
    • Budget applies to all usage
  3. Set Warning Threshold:
    • Percentage of budget (default: 80%)
    • Receive alerts when threshold reached
  4. Save Budget

Budget Alerts:

  • Email notification when threshold reached
  • In-app notification
  • Budget exceeded warning

Auto Top-Up

Enable automatic top-up when balance is low:

  1. Enable Auto Top-Up
  2. Set Threshold:
    • Amount in euros (e.g., €50)
    • Or percentage of budget (e.g., 20%)
  3. Set Top-Up Amount:
    • Amount to add when threshold reached
    • (e.g., add €100 when balance drops to €50)
  4. Save Settings

How it Works:

  • When balance reaches threshold, top-up is triggered automatically
  • Payment method on file is charged
  • Balance is replenished

Billing Information

Update Billing Details

Manage your billing information:

  1. Go to Billing → Billing Information
  2. Update Details:
    • Name: Billing contact name
    • Email: Billing email address
    • Phone: Contact phone number
    • Address: Billing address
    • Tax IDs: VAT numbers, tax IDs
  3. Save Changes

Important: Keep billing information current to avoid payment issues.

Payment Methods

View Payment Method:

  • Go to Billing → Payment Methods
  • See current payment method on file
  • View last 4 digits of card

Update Payment Method:

  • Click "Update Payment Method"
  • Redirected to secure payment portal
  • Add or update payment method

Payment Portal:

  • Secure Stripe-hosted portal
  • Manage payment methods
  • View payment history
  • Download invoices

Invoices and Payments

View Invoices

  1. Go to Billing → Invoices
  2. View Invoice List:
    • Invoice number
    • Date
    • Amount
    • Status (Paid, Pending, Failed)
  3. Download Invoice:
    • Click on invoice to download PDF
    • Invoices include all charges

Payment History

View complete payment history:

  • Subscription Payments: Monthly plan fees
  • Usage Charges: Pay-as-you-go charges
  • Top-Ups: Manual or automatic top-ups
  • Refunds: Any refunds issued

Upgrading Your Plan

Upgrade Process

  1. Go to Billing → Plans
  2. Select New Plan:
    • Compare plans
    • Choose plan that fits your needs
  3. Review Changes:
    • New limits
    • New features
    • Price difference
  4. Confirm Upgrade:
    • Redirected to checkout
    • Complete payment
    • Plan upgraded immediately

Upgrade Benefits:

  • Immediate access to new features
  • Higher limits
  • Better support
  • More integrations

Downgrading Your Plan

  1. Go to Billing → Plans
  2. Select Lower Plan
  3. Review Impact:
    • Reduced limits
    • Feature restrictions
    • What you'll lose access to
  4. Confirm Downgrade:
    • Plan downgraded at end of billing period
    • Access continues until period ends

Important:

  • Downgrades take effect at end of billing period
  • You keep access until period ends
  • Data is preserved, but limits apply

Trial Period

Free Trial

Duration: 14 days

Included:

  • Access to Free plan features
  • Full platform access
  • No subscription fee during trial

Important:

  • Credits required: You must add credits to your account to make calls, even during the trial period
  • Calls are charged from your credit balance based on usage
  • No minutes are included - all calls consume credits

Trial Expiration:

  • Trial ends after 14 days
  • Upgrade required to continue
  • Data is preserved

Trial Status:

  • View trial days remaining
  • See trial expiration date
  • Upgrade before expiration

Best Practices

Budget Management

  • Set Realistic Budgets: Set budgets based on expected usage
  • Enable Alerts: Set warning thresholds to avoid surprises
  • Monitor Regularly: Check usage weekly or monthly
  • Use Auto Top-Up: Prevent service interruptions

Cost Optimization

  • Choose Right Plan: Select plan that matches your needs
  • Monitor Usage: Track usage to identify trends
  • Optimize Calls: Reduce call duration where possible
  • Review Regularly: Review costs monthly

Plan Selection

  • Start Small: Begin with Free or Core plan
  • Upgrade When Needed: Upgrade when you hit limits

Troubleshooting

Payment Failed

Possible Causes:

  • Expired payment method
  • Insufficient funds
  • Card declined

Solutions:

  • Update payment method
  • Check card balance
  • Contact bank if needed
  • Retry payment

Usage Not Updating

Possible Causes:

  • Delay in usage sync
  • Billing system processing

Solutions:

  • Wait a few minutes
  • Refresh the page
  • Contact support if persists

Budget Alerts Not Working

Possible Causes:

  • Email notifications disabled
  • Wrong email address
  • Threshold not set

Solutions:

  • Check notification settings
  • Verify email address
  • Set warning threshold

Plan Limits Reached

Problem: You've reached plan limits (agents, users, etc.)

Solutions:

  • Upgrade Plan: Upgrade to higher plan
  • Remove Unused Resources: Delete unused agents/users
  • Contact Support: Discuss custom limits
